Privacy Notice

How RapidGlobe collects, uses and protects personal information when you visit our website, contact us or arrange a call.

Last updated: 8 September 2026

Who we are

RapidGlobe Ltd is the controller of the personal information described in this notice.

  • Company registration number: 05615649
  • Registered office: Ground Floor Suite, Crown House, 40 North Street, Hornchurch, Essex RM11 1EW
  • ICO registration number: ZC168720
  • Data protection contact: admin@rapidglobe.com

This notice covers our corporate website, direct enquiries and call bookings. Other RapidGlobe services may provide additional privacy information where needed.

Information we collect

When you contact us by email

We may collect:

  • your name and email address;
  • your organisation, job title and telephone number, if you choose to provide them;
  • the contents of your message and any other information you choose to include; and
  • our correspondence and notes about your enquiry.

Please do not send confidential documents, special category information or information about other people unless we have agreed a suitable way to receive it.

When you book a call

Our website links to Calendly, a separate booking service. If you use that link, Calendly collects your name and email address, together with the date and time you select. You may also choose to answer an optional question about anything that would help us prepare for the meeting. Please do not include confidential information or sensitive personal information in that answer.

Discovery calls are normally held on Microsoft Teams, and a meeting link is generated for the booking. RapidGlobe receives the information needed to arrange and manage the call, and booking details are added to our Microsoft 365 Outlook calendar. Calendly also processes information under its own Privacy Notice. Because the booking page is hosted by Calendly rather than embedded on our website, Calendly’s cookies and technologies apply when you visit that service.

When you visit our website

We do not currently use website analytics, advertising pixels, chat widgets or other non-essential tracking technologies.

Our hosting provider, 123 Reg, may process limited technical information needed to deliver and protect the website. This may include your IP address, device or browser information, pages requested, and the date and time of a request. Raw access logs available to RapidGlobe are processed every 24 hours and archived within our hosting account. The account is configured to remove the previous month’s archived logs at the end of each month. Further information is available in the 123 Reg privacy policy.

How and why we use your information

We use personal information only to:

  • respond to your enquiry;
  • arrange and manage a call you have requested;
  • understand whether RapidGlobe may be able to help you;
  • keep an appropriate record of our correspondence; and
  • maintain the security and operation of our website and business systems.

We do not use website enquiries or booking details for email marketing, and we do not sell personal information.

Our lawful bases under UK data protection law are:

  • Steps at your request before entering into a contract, where you contact us about a possible service or engagement.
  • Legitimate interests, where we respond to business enquiries, manage correspondence, operate the website and protect our systems.
  • Legal obligation, where we need to retain or disclose information to comply with the law.

Our legitimate interests are running RapidGlobe, communicating with people who contact us, understanding potential client needs, and keeping our website and systems secure. We consider these uses proportionate and limited to what a person would reasonably expect after contacting us.

Do you have to provide this information?

You do not have to contact us or book a call. If you choose to do so, we need enough contact and enquiry information to respond or arrange the meeting. Without it, we may be unable to deal with your enquiry or complete the booking.

Who we share information with

We use a small number of service providers to operate the website and respond to enquiries:

  • Microsoft 365 provides our business email, calendar and related communication services.
  • Calendly provides the external appointment-booking service.
  • 123 Reg provides website hosting and related technical services.

These providers may process personal information for RapidGlobe under their service terms and data protection arrangements. They may also process limited information for their own purposes as described in their privacy notices.

We may also disclose information where required by law, to establish or defend legal rights, or to protect RapidGlobe, our users or others. We do not routinely share enquiry information with other organisations.

International transfers

Some of our service providers may process personal information outside the United Kingdom, including in the United States. Where UK personal information is transferred internationally, we rely on safeguards recognised under UK data protection law, such as UK adequacy regulations, the UK Extension to the EU-US Data Privacy Framework where applicable, or approved contractual safeguards.

Calendly explains its transfer arrangements in its Data Processing Addendum. Microsoft explains its role and handling of customer data in its Microsoft 365 privacy information. The 123 Reg privacy policy explains its international transfer arrangements.

How long we keep information

We normally keep enquiry correspondence and booking records for up to 12 months after our last contact with you. We may keep information for longer where:

  • discussions lead to a client engagement, in which case the relevant client or contractual retention period will apply;
  • we must retain it to comply with a legal obligation; or
  • it is reasonably needed to establish, exercise or defend legal claims.

For website raw access logs available to RapidGlobe, our hosting account is configured to remove the previous month’s archived logs at the end of each month. Other technical and security records held by 123 Reg or our other service providers may follow those providers’ own retention schedules, determined by reference to operational, security, legal and service requirements.

How we protect information

We use appropriate organisational and technical measures to protect personal information. These include restricting access to those who need it, using reputable service providers, maintaining account security and applying reasonable security controls to our systems.

No online service or email system can be guaranteed to be completely secure. Please avoid sending sensitive or confidential information by ordinary email unless we have agreed an appropriate method with you.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to processing based on legitimate interests; and
  • receive information you provided in a portable format where the right to data portability applies.

These rights are not absolute, and an exemption may apply in some circumstances. We will explain our decision if we cannot fulfil all or part of a request.

To exercise a right or raise a concern, email admin@rapidglobe.com. We may ask for enough information to confirm your identity and locate the relevant records.

Automated decision-making

We do not use personal information collected through the corporate website to make solely automated decisions that have legal or similarly significant effects.

Complaints

Please contact admin@rapidglobe.com first if you have a concern about how we use your personal information, so that we can try to resolve it.

You also have the right to complain to the Information Commissioner’s Office. Guidance is available on the ICO website.

Other websites and services

Our website may contain links to other websites or services. Their privacy practices are governed by their own notices, and RapidGlobe is not responsible for how those third parties use personal information when you visit them.

Changes to this notice

We may update this notice when our website, services or legal obligations change. The date at the top shows when it was last updated.
